Step by step

  1. Save the workbook and select the complete table, including its heading row and all related columns, for example A1:C5.
  2. Open Data and choose Sort. In the sort dialog, identify the heading row, choose the column to sort by and choose ascending or descending order.
  3. Confirm the sort. Check that the values in each row stayed with their original labels; the whole record should move together.
  4. Select the table again and choose Data > AutoFilter. Filter arrows appear in the heading cells.
  5. Open a heading's filter arrow and choose the values you want to display, then apply the selection. Rows that do not match are hidden from view.
  6. To show the complete table again, reopen each filtered heading and select all values. Confirm that the hidden rows return before making further changes.
  7. Save when the table is in the state you want. Sorting changes row order; filtering changes which rows are visible.

Before you continue

Do not sort one column of a multi-column table on its own. Select the whole table so labels and values remain associated.

Use one heading row and avoid empty rows inside a table to make its boundaries clear.

A filtered-out row still exists. Clear filters before assuming that data is missing.
