Make a spreadsheet readable with consistent fonts, alignment, number formats and cell styles.

This guide is based on application documentation. Its full procedure has not yet been tested directly; some details may vary by operating system and version.

Step by step

  1. Select the cells you want to format. For a table with headings in row 1, select A1:C1 to format the heading row first.
  2. Open Home. Use the Font group to choose a readable font and size, then apply Bold or a text color to the selected cells.
  3. Use the Alignment group to align the heading text. If a heading is too long, widen the column by dragging the boundary between its column letters.
  4. Select the numeric cells, such as B2:C5. In the Numbers group, choose the number format that matches the values: a number, currency or percentage.
  5. Use Increase Decimal Places or Decrease Decimal Places to control how many decimals are displayed. Check the formula bar if you need to see the stored value.
  6. For a consistent visual style, select the relevant cells and choose a style in Home > Styles. Check that the text is easy to read against its background.
  7. Save the workbook and review the whole table. Headings should be distinct, numbers should use consistent formats and no important text should be cut off.

Percentage formatting changes how a value is displayed: 0.25 appears as 25%. Enter the underlying value you intend to calculate with.

Number formatting changes the display; it does not turn arbitrary text into a usable number.

Use restrained colors and enough contrast. For the Arabic interface and text direction, see the Arabic guide.
